How Sage works
1. It always says it is an AI
Every call opens with "This is an automated AI assistant, and this call may be recorded and transcribed.", in the caller's language, and the English greeting for a new caller adds "I'm Sage, the AI assistant". Texts and emails are answered by the same agent under the same rule: asked whether it is a person, it says it is an AI assistant and offers to have you follow up. It never claims to be you.
2. What it does on its own, and what it asks you
Some things you can switch between Autopilot (Sage acts and tells you after, in your Work Log) and Copilot (Sage drafts and nothing goes out until you press Send). Others are fixed, for the reason given.
| What | Mode | How it works |
|---|---|---|
| Replies to rental inquiries (text & email) | Your choice (default: acts) | Sage replies within seconds, answers from your listing, and books viewings into your open times. In Copilot: Sage writes the reply and holds it. You send it, edit it, or discard it. Booking a viewing waits for your Send too. |
| Answering phone calls | Always acts | Sage answers, takes repair requests and messages, and books viewings. You get the summary. A caller is on the line — it cannot wait for an approval. |
| Chat on your listing page | Always acts | Sage answers questions from your listing and offers your open viewing times. The person is on the page right now. |
| Tenant repair requests | Always acts | Sage logs the ticket, triages urgency and calls your escalation number for emergencies. A leak or a no-heat call must be logged — and escalated — immediately. |
| Rent, move-in date, pets, term, occupants | Always asks you | Sage asks you with a decision card and tells the person your answer. These are your decisions, never the agent's. |
| Payment extensions, N1/N4 notices, lease signing, money | Always asks you | Sage prepares it and asks. Nothing is served, signed, sent or recorded without you. Legal and financial consequences stay with you. |
Every reply Sage sends by text or email carries a one-line note, for you only, saying why it said that, for example the listing fact it answered from. You see it in the conversation; the other person does not.
3. Every limit, in numbers
| Plan | Phone-line minutes | In-app assistant (AI credits) |
|---|---|---|
| Starter Free | Not included | 50/month |
| Growth $29/mo | 200 min/month | 500/month |
| Portfolio $79/mo | 600 min/month | 2000/month |
- Past your included minutes, calls keep being answered at no extra charge; nothing is billed per minute. Minute packs: 500 minutes — $59; 200 minutes — $29.
- At 300 minutes over, calls from people the line does not recognise, and outbound calls, pause until you add a pack. Emergency calls from tenants are never blocked, whatever the balance, and nor is any call from a tenant the line recognises. After-hours calls from unrecognised numbers that would otherwise be paused get a daily limit, then a voicemail, and an unrecognised number that keeps calling after hours within the same hour is sent to voicemail too.
- It is not an emergency service. On an urgent call it texts and rings your escalation phone, but if our service itself is down the line can only apologise or forward the caller. Give tenants your direct number for urgent repairs, and 911 for danger.
- Text conversations: after 24 messages from Sage in one conversation, it hands the conversation to you and stops, so a runaway thread can never run up texts.
- If the account's monthly AI allowance runs out, Sage keeps answering, with simpler scripted replies, and you are told. Nobody is left without an answer.
- Languages on the phone line: Sage answers in the language the caller speaks and follows them if they switch, across the 99 languages Google lists for Gemini Live, the voice model behind the line. Calls open in the line's default language; a press-1 language menu is optional, in Settings.
4. What stays with you
You are the landlord. Sage does not give legal advice, does not decide who rents your place, and never screens anyone on a ground the Ontario Human Rights Code protects. Notice dates and amounts come from KeyToRental's rules engine, never from the model's memory, and nothing is served without you. See the Terms and the Privacy Policy for how call recordings, transcripts and messages are kept.
